Executive Administrative Assistant Position

Candidate must be extremely reliable, goal orientated, organized, and possess excellent time management skills. Candidate should bring proven systems and processes, with the ability to provide a comprehensive range of administrative support.

Listing Assistance

  • Prepare listing materials: comparative market analysis, pre-listing and listing presentation, listing agreements and sellers’ disclosures.
  • Consult and coordinate scheduling with sellers, including: property photography, videography, staging, repairs, signage, and marketing activities.
  • Coordinate showings and obtain feedback.
  • Provide clients weekly feedback regarding showings and marketing activities.
  • Coordinate open houses and broker opens.
  • Input and update listing Information into MLS and other marketing outlets.
  • Submit necessary documentation to Office Broker for file compliance.

Marketing Assistance

  • Create and regularly prepare buyer and seller consultation packages.
  • Coordinate the preparation of listing and open house flyers, email, signage and other marketing materials for Team listings.
  • Manage and maintain Team websites, blogs, newsletters and online listings.
  • Social Media Management
  • Event Coordination
  • Regularly obtain client testimonials for websites, social media.
  • Facilitate Client Mailings

Administrative Assistant

  • Answers Telephones
  • Assists with obtaining bids for additional work from outside contractors when a third party vendor is required.
  • Write, prepare, proofread letters, memos, e-mails, and reports in draft and final form.
  • Create and manage systems for sellers, buyers, client database management, lead generation tracking, lead follow-up and all office administration.
  • Create and update a business operations manual.

Required Job Specific Skills & Traits:

  • Administrative experience in Residential Real Estate or Real Estate Title, Minimum of 2+ Years
  • Exceptional organizational and project management abilities.
  • Self-motivated, self-managed, and driven by performance.
  • Ability to work Individually and together in a Team Environment.
  • Excellent written, verbal communication skills, & etiquette

  • Wordpress or Similar HTML Editor
  • CRM Experience
